If you want to allow everyone to pay by cash or check on a registration, you can set up the Fees as Some or all can be paid later.
But what if you want most people to pay immediately or on a scheduled payment plan, but have just a few you want to allow to pay by check/cash? In other words, you want to create an exception.
There are a couple ways to do this:
- Clone the registration form.
- Use discount codes.
Clone the registration form
You can clone a form using the Clone button at the bottom of the General tab of the registration. Doing this generates a new registration link.
You could clone the main form and on the clone set the Fees to Some or all can be paid later. Then give the cloned link to just the people you want to have pay by cash or check.
After they register, you can go into their registration details and record a manual payment to close out the registration form.
Aside from the extra step to record the payment, this can add some complexity to your reporting.
- Instead of having just one form for a given registration, you now have two.
- Instead of having one type of payment, you now have two. And those two types of payments hit your bank account differently for reconciliation purposes.
Use discount codes
You can set up discount codes as detailed in the article Promo codes/Coupons. You then give the code to the people who will pay offline, and they enter it before checking out on the registration.
The issue with this approach is it will set the registration to completed because a far as the system is concerned, they don't owe anything. So there are some additional steps you need to complete for each person to record the payment.
- Go into the Reports menu and pull up their record.
- From the list of actions on the bottom left, choose Adjust Balance.
- Increase the balance to the actual registration amount.
- From the list of actions, choose Record a Payment and enter the payment details.
The above is optional but recommended so you can see their payment along with all the credit card payments.
For the reports, you will have the same payment method added complexity as cloning the form, but not the registration complexity. All registrations happen in the same form.
