SquadFusion

Syncing events to your personal calendar

There are 3 ways to get SquadFusion events to your personal calendar.

The first is to use the Add to Calendar link or button on each event. Use this method for events not covered by the second method, or if you only want to bring over a small number of events.

The second is to set up a calendar sync between SquadFusion and your personal calendar, in a Full Sync mode. This is accessed via each calendar as well as from your Account Settings. This is the recommended way to sync.

The third is to setup up a calendar sync between your personal calendar and each SquadFusion calendar (i.e., each squad's calendar) in Basic Sync Mode. This must be done on each SquadFusion calendar you want to sync. For each calendar, you will be given a link you can add to your personal calendar program (Outlook, Google, Apple, etc.).

Basic mode is not supported on all organizations, so it may not be available for you.

Basic sync vs Full sync

Setting up sync

With basic sync you will get a link for each schedule you wish to sync. Each of those links need to be added to your calendar program. Depending on your calendar setup, you may need to add these links to each device you use (e.g., your phone, your computer, your tablet, etc.).

With full sync, you will authorize us to add and update events on your calendar. After that one-time authorization, all your schedules will be automatically synced and if you are added to any other squads, those will be synced as well. You will not need to add each schedule individually, nor need to do anything on your various devices.

Full sync is extended to all of your organizations, if you are using SquadFusion for them. You simply need to use the same email address to log in on them.

Sync timing

Basic sync relies on the various calendar providers to process subscription schedule events. This processing is out of our control. Typically newly added events appear on the subscription calendars quickly. But the calendar providers do not guarantee that. In some cases, it can take several hours for new events to appear or for changes to appear on personal calendars.

The authorization you perform when you set up full sync allows us to have a more direct connection to your calendar than the subscription calendars. That allows us to control the timing rather than rely on the calendar providers. New events and updates to existing events are typically processed within a few seconds.

What data is synced

With basic sync, we can only sync events which your organization has made viewable without needing to sign in. If you need to sign in to see the event, it will not be synced. (That is because the basic sync subscription calendars have no application authentication. So we cannot move events which require authentication.) In other words, only events viewable to the public can be synced to your calendar. This means your full schedule may not be synced.

Full sync covers all events, not only publicly viewable ones. Any event viewable on your My Events page will be synced with your calendar.

With basic sync, only some event information is able to be synced for each event. That includes the event date and time, but not everything.

With full sync, all event information is synced. In addition to syncing all information, full sync also allows you to RSVP to events directly from your calendar app, without needing to access your organization's website or the mobile app.

Cost

Basic sync is free.

Full sync requires a small annual fee. If you use SquadFusion for multiple organizations, one fee covers all of them (as long as you use the same email to log into them). You can choose whether to set up automatically recurring payments so your sync is continuous.

Troubleshooting Basic Sync

Full sync is a set up once and and forget it. Basic sync is more complex and also relies more on the various calendar providers to process subscription schedule events. That processing is historically less reliable than the direct connections with full sync. It is also out of our direct control to fix.

If you do not see some publicly viewable events, you can try using the Sync button again to re-subscribe. Sometimes this will get missing events added.

If that does not work:

  1. Navigate to the event on your website.
  2. Copy the url (website address).
  3. Use a new browser or sign out of your current one.
  4. Paste the url you copied.

If you get a message about the event not existing or you not being authorized, it means your administrator has decided not to make that event public, so it will not get synchronized.

If you are able to see the event, but it still does not appear on your calendar, you can email the url to support@squadfusion.com. We will check whether we see it on the subscription calendar.
